Policies & Procedures
We do not accept requests over the phone, by fax or by email for any records.
Transcripts are issued at the written request of the student or appropriate institutions and officials.
Official transcripts of the student's ASU permanent record are issued on security paper with the seal of the University.
Transcripts which have been presented for admission or evaluation of credit become a part of the student's permanent record and are not reissued. Transcripts from other institutions, if needed, must be obtained directly from the original issuing institution.
Transfer students should obtain, for advisor use in scheduling, a reference copy of their academic record from each institution attended.
Transcripts or other evidence of attendance will not be issued to or for a student who is in debt to the university.
We will NOT release high school transcripts or transcripts from any other institution. You MUST contact the high school or the other institution to acquire your transcript.
No information will be released on students who have a financial obligation to the university.
Obtaining an Official Copy of Your Transcript
Transcripts are free if ordered online through Self Service AND picked up after 24 hours or if we mail to your requested destination. (Please help us keep this service free by only requesting the amount needed.)
Current ASU students can request their official transcripts by logging into myCampus. Once you have logged in, click the 'Self Service' tab and follow the directions below to make your request.
Former ASU students and alumni can request their official transcripts by logging into Self Service. Once you have logged in, follow the directions below to make your request.
Please be sure to include a complete mailing address if you want your transcript mailed. Requests provided without a complete address will not be mailed.
Graduates Prior to 1990
For transcripts before Fall of 1990 you must request your first copy from the Transcripts office or you can contact our office to be put into the system for online requests. You cannot view your transcript on the web or request a copy online for course work prior to Fall 1990. Once we have received a request from you, you will be able to view your course work totals - not course by course detail - and request future transcripts on the web.
If you do not pick up transcripts that were requested via the 24-hour pick-up delivery method, a hold will be placed on your account.
Request In Person
Transcripts can be ordered for $10.00 if requested in person or in writing by mail.
To order in person or by mail, follow these steps:
- Go to the Cashier's Window, located on the 2nd floor of the Student Union, to pay $10.00 for your transcript.
- Bring your receipt to the Transcripts department in the Office of Admissions, Records and Registration, located in the Student Union Building/RSSC, Room 2124. Photo ID is required.
Request in Writing
Print a Transcript Request Form, complete the form, and mail it to the Office of Admissions, Records and Registration, PO Box 2640, State University, AR 72467. Please include a check for $10.00 made payable to ASU. (You may get both undergraduate and graduate on the same request for $10.00) ASU Alumni Association members receive free transcripts.
Please include the following information with your written request
- Social Security number
- Destination of the transcript
- Date of request
- Include $10.00 per official copy ordered
Ordering your transcript via mail can cause a delay of several days and a week or more during peak volume times. The quickest method for requesting and receiving your transcript is using the online method mentioned above. If you are experiencing problems when using the online option, please contact our offices for assistance before making a request via mail.
Hold for Grades or Hold for Degree
A transcript request can be made in Self Service with the option to 'Hold for Grades' or 'Hold for Degree.' These options ensure that your transcript will be produced with the current semester's grade or degree on it.
Hold for Grades
When requesting transcripts, select "Hold for Final Grades" in the "Print Transcript" drop down box on Self Service.
Allow approximately 7 days after the semester (and Christmas break for Fall requests) for grade holds.
Hold for Degree
When requesting transcripts during the semester you are graduating, if you need your degree posted to your transcript, select "Hold for Degree."
Allow approximately 10 days after the semester (and Christmas break for Fall requests) for grade holds.
Your transcripts will be processed according to the selection you made in the Self Service drop down box.
Special Delivery Service
FedEx overnight delivery service is available for an additional $25 fee. In order to guarantee overnight delivery, you must make the request by 10:00 a.m. A physical address must be provided if this method is used. FedEx will not deliver to post office (P.O.) boxes. FedEx Overnight will not deliver on the weekend. Requests on Friday will be delivered on Monday ONLY if requested before 10:00am.
To Obtain an Unofficial Copy of Your Transcript
Unofficial copies are free and immediately viewable. An unofficial copy may be all you need if you are wanting a record for your own reference. (Our office will not provide unofficial transcripts for records from the Fall 1990 - present.)
- Login to myCampus (current students) Self Service (former students)
- Click 'Student'
- Click 'Student Records'
- Click 'Academic Transcripts'
- Choose level and click submit.
Other Available Records
Immunization records and test scores may be requested in person or by mail. There is a $2.00 charge for immunization records and test scores. Some former student's immunization records and/or test scores may not be available from our office.
Letter of Good Standing
Letters of Good Standing are no longer available. The student's most current standing is printed on their transcript. Transcripts requested online are free of charge.
